Asana AI Teammates: How to Set Up AI That Actually Does Work? [VIDEO]

What Are Asana AI Teammates?

AI teammates in Asana are designed to handle specific, repeatable tasks.

Not broad roles like a human employee, but focused responsibilities.

Think:

  • Writing content
  • Answering internal questions
  • Reviewing invoices
  • Planning projects

And the key difference is this:

You don’t use them in a separate tool.

You work with them directly inside Asana, just like you would with a human teammate.


How to Create Your First AI Teammate

Getting started is simple.

Inside Asana:

  • Go to the Workflow tab
  • Click AI teammates
  • Select Create AI teammate

From there, you can either:

  • Start with a pre-built teammate, or
  • Build your own from scratch

Pre-built options are useful for inspiration, but the real value comes from building something tailored to your workflows.


Start With a Specific Use Case

The biggest mistake you can make is trying to create a “general” AI.

AI teammates work best when they are:

  • Clearly defined
  • Task-specific
  • Repeatable

For example, one of the first teammates I created was an onboarding assistant.

Its role is simple:

  • Answer questions
  • Reference internal documentation
  • Guide team members through onboarding steps

Instead of digging through docs or waiting for a response, the team can just ask the AI.


Example: A Content AI Teammate

A more advanced example is a content assistant.

This teammate:

  • Reads a blog post
  • Generates 2–4 social media ideas
  • Suggests formats (carousel, reel, etc.)
  • Writes the copy
  • Adds tasks into the content workflow

All within Asana.

Instead of starting from scratch, you’re reviewing and refining.


Training Your AI With Context

This is where most of the value comes from.

The quality of your AI teammate depends on the context you give it.

You can:

For example:
