Over the last ten years we've worked with more than 1,000 small businesses and helped them move off spreadsheets, out of clunky setups, or off a CRM that was the wrong pick.
So I'm not going to waste your time comparing the top five CRMs. I'll tell you now. The best CRM for small business is Pipedrive.
When you've done as many Pipedrive setups and new builds as we have, patterns show up. You notice where teams get stuck, and you notice the gap between what people think they need in a CRM and what they actually use. Here are my top three reasons why Pipedrive is the best CRM for most small businesses.
Reason 1: Pipedrive is the easiest CRM to use
This is the biggest reason, and you don't have to take my word for it. Multiple independent reviews confirm it. And across the thousands of customers we've helped, the number one reason they tell us they chose Pipedrive is that they found it the simplest, most intuitive and easiest to use.
It's a good fit if you're coming from a spreadsheet. If you've got columns tracking your leads and deal information, that copies into Pipedrive really easily.
The pipeline view
The main deal pipeline view is where you'll spend most of your time. On our sales pipeline I've customised the stages to clearly show where each deal sits in our sales process, and you define those stages and the milestones of your own process however you like.
You can also run multiple pipelines for different revenue streams or different lines of business.
Creating a deal takes seconds
Say somebody rings me up. I click Add Deal, and from that one window I create the contact, drop in their email and phone number, and create the organisation they work for. You can list multiple contacts under that same organisation.
Then the deal itself. I pick which pipeline it goes on and which stage it starts in, then fill in the extra fields underneath like deal type and source, so I can track that this one came in as a referral. All of those fields are customisable, so you set up your own to collect the information that's specific to your sales process.
Notes, activities and meetings live on the deal
Once the deal exists, that's where the work happens. Notes go in, activities get logged, and I set myself reminders for when to follow up. I can book a meeting straight from the deal, in person or through a video conferencing service like Zoom, and it syncs to my calendar.
You can also send email from the compose window in Pipedrive. I write one quickly using a pre-written template, and those templates can be written in advance and shared across the sales team. Add my signature, hit send, and the email goes out through my connected Gmail or Microsoft account, with the email I sent and the reply from the prospect both staying linked to the deal.
That's the real payoff. By working in Pipedrive daily, sending emails from your deals and putting notes in while you're in a sales meeting, the CRM is always up to date. So when somebody asks you to follow up in Q3 and you come back to that deal months later, you pick up where you left off.
Reason 2: value for money
Pipedrive offers insane value for the features and capabilities you get. There are cheaper CRMs on the market, and quite frankly they're cheaper for a reason. There are trade offs with price, and with Pipedrive you get a very capable CRM for a very fair price.
How the pricing works
There are two components. The first is the subscription level, which is the price you pay for every user on your team, billed monthly or annually. Pay up front for a year and it's cheaper.
You can start as low as the Lite plan at $14 per user per month, and if you're coming off a spreadsheet that's a great option. I generally recommend getting at least the Growth plan so you can sync your email and build automations to help your sales process. When you're serious about getting the most out of Pipedrive and you want to be a power user, go for Premium.
Once you've chosen your subscription you can add on extra features. LeadBooster collects leads and form submissions from your website, Projects handles project delivery inside Pipedrive, Campaigns sends marketing emails and Web Visitors tracks website traffic. Smart Docs generates quotes and contracts from templates. Depending on what you need, some of these come included at higher subscription levels.
That's what's good about Pipedrive pricing. You pick the subscription level and only the add-ons you need, to fit your specific budget and requirements. You have total flexibility.
Most customers who sign up with us tell us Pipedrive paid for itself within a couple of weeks, because they've got a better system for following up, or a simple automation that nurtures their deals. A lot of other CRMs lock you into long term contracts and bundle in a pile of features you don't really use.
You can sign up to Pipedrive using our partner link, or request a quote from MinorCo. We're a Pipedrive Platinum Partner, so you can buy through us and we'll give you a discount off the list price.
Reason 3: Pipedrive scales
I started using Pipedrive in 2016 as an individual. We're now a team of 14, and some of our customers have well over 100 salespeople on Pipedrive.
You can connect Pipedrive to the rest of your stack, starting with your email and calendar. There's a full app marketplace of integrations, you can build your own integrations against the open API, or you can connect Pipedrive to your AI systems through its MCP. You can build automations, and it comes with enterprise grade security and compliance capabilities.
All of this to say: you can grow your business without outgrowing Pipedrive.
What about the other CRMs?
Compared to Pipedrive, CRMs like Zoho and Monday aren't nearly as intuitive or easy to use. Sign up for a trial and give them a go if you want, or just take my word for it.
The one serious contender is HubSpot. HubSpot does have some powerful marketing capabilities, but you'll pay more and you'll be trading off that ease of use.
That's why I stand by the claim. Pipedrive is the best CRM for small businesses.
Conclusion
If you're on a spreadsheet or fighting a CRM that doesn't fit, Pipedrive is where I'd start. Watch the video to see the deal creation, email and pricing walkthrough on screen.
FAQ
What is the best CRM for small business?
Pipedrive. After more than 1,000 small business setups it's the CRM we recommend most often, because it's the easiest to use, the pricing is fair for what you get and it scales as your team grows.
How much does Pipedrive cost?
Pricing has two parts. The subscription level, charged per user per month on monthly or annual billing, starting at $14 per user per month for the Lite plan on annual billing. Then optional add-ons on top. Paying annually up front is cheaper than monthly.
Which Pipedrive plan should a small business choose?
If you're coming straight off a spreadsheet, Lite works. We generally recommend at least Growth, because that's where you get email sync and automations. If you want to run Pipedrive as a power user, look at the higher plans.
Is Pipedrive better than HubSpot?
HubSpot is the one serious contender and it has powerful marketing capabilities. But you'll pay more for it and you'll trade off ease of use. For most small businesses, Pipedrive is the better fit.
Can Pipedrive replace my sales spreadsheet?
Yes, and it's one of the easiest migrations. If your spreadsheet has columns tracking leads and deal information, that data copies into Pipedrive without much work.
Does Pipedrive integrate with other tools?
Yes. It connects to your email and calendar, has a full app marketplace of integrations, an open API for custom builds, and an MCP for connecting Pipedrive to AI systems.
